First-Time Exhibiting at Weldex: Your Step-by-Step Guide to a Successful Show
First-time exhibiting at Weldex raises practical questions. Which stand should you choose? How do you get equipment to Moscow? How do you make sure the right buyers find you, and what happens after the show? This guide walks you through each stage from the exhibitor's side, so you can plan with confidence and turn four days into real business.
Weldex is Eurasia's leading international exhibition for welding materials, equipment and technologies, attracting 8,000+ professionals from 76 Russian regions. The next edition takes place from 12 to 15 October 2027 in Hall 4, Pavilion 1, Crocus Expo, Moscow, co-located with Fastenex. Weldex regularly welcomes first-time exhibitors alongside long-standing participants. Fastenex itself began as a new fasteners section within Weldex before growing into its own show.
"This is our first time exhibiting, and we're thrilled with the interest in our equipment. Weldex attracts both trusted partners and new connections, creating valuable opportunities." - Xveld, first-time Weldex exhibitor
Step 1: Set clear goals before you book
Decide what success looks like before you commit. Typical goals for first-time exhibitors include:
Generating a target number of qualified leads
Finding distributors or dealers in Russia and the CIS
Launching a new product to the market
Meeting existing customers and strengthening relationships
Clear goals shape every later decision, from stand size to staffing. To check the audience fits your goals, read the Weldex visitor profile.
Step 2: Choose the right stand
Weldex offers three main stand options:
Stand type | Size | Best for |
Individual (space-only) stand | Any size, custom built | Brands that want maximum impact, a unique design and room for large equipment |
Standard Shell Scheme | 11 to 60 sqm | First-time exhibitors who want a ready-built, cost-effective stand |
Premium Shell Scheme | 12 to 60 sqm | Exhibitors who want a ready-built stand with a more premium look, choice of colours and structures from 3.5 m to 5 m high |
Most first-time exhibitors start with a shell scheme, which comes ready to use and keeps planning simple. If you plan to demonstrate large welding or cutting equipment, discuss floor loading, power and space with the Weldex team early. Enquire about stand options.
Step 3: Prepare your stand and paperwork
Once your stand is booked, use the Exhibitor Resource Centre to plan your participation:
Read the technical manual. It covers installation rules, build-up times and other essentials.
Order technical services on time. Power, water, extra furniture and ceiling suspensions are ordered through the Participant Portal or order forms. For Weldex 2026, the deadline was around two months before the show, with surcharges of 20%, 50% and then 100% for late orders. Check the 2027 deadlines as soon as they are published.
Plan your logistics. The official freight partner, DMW EXPO, handles exhibitor shipments of machinery, displays and stand equipment to Crocus Expo. Start early, especially for heavy equipment.
Arrange travel. Use the Plan Your Travel page for hotels and transport.
Step 4: Showcase your products effectively
The Weldex audience comes to see equipment in action. To stand out:
Make your message instantly clear. Your company name and what you offer should be obvious from the aisle.
Demonstrate live. Welding, cutting and surfacing demonstrations draw crowds and give buyers hands-on experience.
Focus on your strongest products. A creative stand with a few hero products works better than a crowded one.
Promote launches. If you are launching new equipment, display a presentation schedule clearly on your stand.
Step 5: Meet the right buyers
Don't wait for visitors to walk past. Plan your meetings in advance:
Use Weldex Connect. Matchmaking recommends visitors and partners based on your products, so you can book meetings before the show opens.
Invite your own customers. Use the exhibitor promotion tools and Weldex advertising opportunities to tell your market where to find you.
Brief your stand team. Visitors include welding engineers, production managers, procurement specialists and business owners. Each needs a different conversation.
Take part in the wider programme. The conference programme and side events attract senior specialists you can meet.
Step 6: Capture and follow up every lead
The show is only half the work. The business comes from what happens next:
Scan every badge with the lead scanning tool, so contacts are stored digitally and nothing is lost.
Note what each visitor needs at the time of the conversation.
Follow up within a week with quotes, technical data or meeting requests while the conversation is fresh.
- Measure results against the goals you set in Step 1 to plan your next edition.
